Sharing Datasets Based on User Profiles
Welcome to Notes from BenDesk: Ben is our resident Freshdesk captain and manager of all help@ inquiries. We're bringing you interesting inquiries from his inbox each month to help share learnings across our community.
Question of the Month: Is there an easy way to share datasets with others based on their user profile levels?
Bendesk Answer: With PAD, you have complete control over your data and how you share it with your team! The process consists of two main components: sharing datasets and understanding the user-level permissions available in your project.
The process of adding a specific user group to a dataset is easy! To do so, follow these steps:
Navigate to the BigQuery home page.
Expand your project in the Explorer pane and select the dataset to which you want to add a group.
Click "Sharing" in the pane on the far right side, then select "Permissions" from the dropdown menu.
Click "Add principal."
You can add users two ways in the "New principals" field:
Entering the user account, which is their PAD account. For example: prog@cta-tech.app
Or an entire user group like prog-administrators@cta-tech.app.
From the "Select a role" list, choose a role to grant the principal. In most cases, CTA recommends using either "BigQuery Data Editor" or "BigQuery Data Viewer."
Click "Save."
To return to the dataset info, click "Close."
As a reminder, CTA handles user groups and permissions through Google Groups and offers four different user levels:
Administrators can create, edit, and delete datasets within your project and manage access for Contributor and Viewer groups. Therefore, it's important to limit the number of administrators.
Editors can create and edit datasets but cannot delete them.
Viewers can only read (query) datasets. They need explicit permission to access and query datasets in the project.
Contributors can query and create datasets but won’t have access to everything in the project unless they are specifically granted permission.
